Printing a report

You can send your reports to be generated as many times as you like throughout your school's reporting period. Some schools will require multiple print runs to proof read, other schools will do all their proof reading via online editing inside the 'write reports' section of the software. As you will note further into the printing instructions, you can even print one class/ one studnent at a time, so one teacher might be requesting a print run of their reports, before another teacher has completed theirs.

As an administrator, navigate to 'SPAreporter', 'Print Reports'. Then Select '+Add New'.

Select the Report Run that you would like to print, then click 'Next'.

At this point you have three options. Option 1 is to print the entire report run with the .pdf file/s coming out in alphabetical order. Option 2 is to select the print run one class batch at a time, so that you get .pdf file/s grouped into classes to ensure easy distribution of reports to class teachers (this will be most schools preference). Option 3 is to select only one student to print a report for.

This will be the default tab selected, so select 'Next'.

Note how many student reports it will print and the list of names. Then click 'Finish'

Option 2- Print One Class at a Time (You will need to repeat the print run to cue up one class at a time)

Select which class you would like to cue up. In the example i have selected the home group 12B. This will populate the entire report for all studnets in 12B (including their specialist pages). Then select 'Next'.

Once you have hit 'finish', you will be bought back to the report run page, where you will notice your report run is listed under 'pending' report runs. You are now waiting for your report run to be sent to our servers to begin populating. The speed at which this will occur will all depend on how many other schools have also just requested their report runs to be populated. We have multiple servers populating reports at once, so you will be unlucky if it takes a while for your report run to begin compiling.

You can then click '+ Add New' if you wish to populate another classes report, or student's report or a second report format.

Once you have queued up all the report runs that are required, you are free to walk away from your computer at this point. Or even close your computer down, as the job/s are now logged with our server and your computer is no longer required.

If you click the refresh button a few times, you will eventually note that your report run will have the status change from 'pending' to 'running'. You will now know that your report .pdf files are actively being generated by our servers. We estimate that once you report run has started, it takes approximately 6 seconds per child. This will give you an estimate of how long it will be before your report run will be completed; a school with 100 students will take about 10 minutes to complete.

You can walk away from your computer at this point. Or even close your computer down, as the job is now logged with our server and your computer is no longer required.

Once your report run is complete, two things will happen. The report coordinator who triggered the print run will receive an email notifying them that the report generation process is complete and ready to download. Secondly when you log back in to collect your reports, you will notice that the print job has moved from 'Pending Print Runs' to 'Completed Print Runs'. Click the 'Download' button.

You will have two options for downloading.

1. Download one 'zip' folder that once unzipped, contains multiple individual .pdf documents labeled with the child's year level and student ID number.

2. Download one .pdf file that contains every single report for all studnets in your report run.

We would advice downloading both files. You will most likely want to use the single .pdf as the file you send to your school printer to begin printing hard copies of the reports. And you will most likely wish to keep the folder containing individual reports saved somewhere on your school server for your records. Or potentially use the individual .pdf files to email the reports home one by one.

Print your Reports

Once you have downloaded your .pdf files you are now ready to send your file/s to the printer at your school. The reports will now print as hard copies. The speed at which the reports will print will depend entirely on the speed of your school's printer.
