(Old ACER Online Testing System) ACER- Exporting PAT Online Testing

Instructions on how to export ACER online tests and import them into your SPA account.

In this manual we are going to learn how to export your ACER PAT Online testing data into an excel spread sheet ready to be uploaded into SPA. Please take extra care in step 7 and 8 of these instructions.

Step 1: Login to your ACER OARS account

You first need to login to your OARS account from the ACER website. If you have a link saved to your favourites you can go directly there.

If not then you can follow this link https://oars.acer.edu.au/clients/search and search for your school. Search for your school name and click the link to take you to the login screen.

Once there you will need to click the Login button

Then enter your username and password for your account. Then Click Log In

Step 2: Once you have logged in you will be taken to this screen. From here click the Reports Button

THIS NEXT STEP IS IMPORTANT. Make sure you only export 1 year level per test at a time.

For example. If you have selected PAT Maths Plus, Test 1, Compared to Year 1. You must! then select the Year 1 Tags so you only get out all the year 1 students that have sat that test.

Once exported you would then export all the Year 2 students who sat that test.

YOU MUST! SELECT TAGS WHEN EXPORTING DATA OR IT WILL NOT IMPORT INTO SPA CORRECTLY

Step 3: Select the tests and tags you would like to export

  1. Test: Choose the type of test you would like to export. (At this point only the PAT-R Comprehension  and the PAT-Maths Plus can be uploaded into SPA)
  2. From: Choose the test you would like to export.
  3. Compare to: Choose the correct year. (If you are going to export Year 1 data select compared to Year 1)
  4. Were tagged with: Make sure you only select one year level at a time in your tags. For example all the year 4 students who have sat that test.
  5. Sat the test: Select the correct date range for the current testing period you are exporting data for. If you do not select this you will get every result for anyone who has ever sat that test.
  6. Finally Click the Report Button.

Your report should then be displayed on the screen with all the results shown.

  1. You then need to click on the Excel symbol next to the export option.

You will then be presented with the following screen.

  1. First give your test a name that will make sense to you.
  2. Make sure you select "Include Username"
  3. Make sure you select "Include Tags"
  4. Click the Export Report Button

Step 6: Save the File

Your file will now download to your computer. The default location for these files is in your downloads folder. Unless you select another location for you files.

THIS NEXT 2 STEPS ARE IMPORTANT SO PLEASE TAKE EXTRA CARE HERE.

Step 7: Open the Excel File and enter the following additional  details (if required and they are not already correct)

When you open up the file in excel you will see a list of all your students for that particular test with all their results entered.

  1. In column C “username” we need to make sure that you enter the correct student id number you have used in the student id tracker you have used in the SPA software for these students. We need this number to match up so that we can accurately track your students in the SPA software.

For some schools this number will already be correct and you will not need to change anything. For other schools you will unfortunately need to alter this information in this excel file before it is uploaded into the SPA software.

You will notice the data you have exported does not tell you what year level the students are in. We need to add this information into the excel spreadsheet so that SPA can put these students in the correct year level in the data.

To do this you will also need to add a new bit of information into Column B Row 1. Depending on what tags you selected when exporting the data you might have some other information in this cell. You need to delete this data and you will need to add in the following extra information.

“Level: Year 1”

REPLACING the actual year level number with the correct year level of students you exported. So 4 for year 4, 3 for year 3 ect.

If done correctly it should now look something like this.

Step 9: Repeat steps 4-8 for all the other tests and year levels you would like to upload into SPA. Once done move onto step 10.

Step 10: Uploading your data.

Once you have done all of the above you just need to save the file and proceed to the uploading section of SPA and upload the file as usual.
